Startup Series #23 – Password Management

Startup Series, Startups | 0 comments | by Erin Quilliam

If warning pop-ups reminding you to use a special character, number and capital letters in your passwords are the banes of your life, it’s probably time to use a password management tool.

It’s best practice to use a different password for every site you use, with a variety of characters. But in reality, remembering them all can become difficult. Using a password management tool takes the hassle out of remembering multiple complex passwords.

LastPass

Cloud-based, letting you access your accounts wherever you are.
Available in browser and across many mobile devices.
Fingerprint access for supported mobile devices.
Two-factor authentication.
Form autofill.
Strong encryption algorithms and local-only encryption.
Detects duplicate and weak passwords to allow you to change them.
Generate new, strong passwords for your accounts.

Automatically change passwords to sites regularly.

The premise of LastPass is simple. You store all of your passwords in their vault. You then create a strong ‘master password’ to your LastPass account. Thereon, you need only to remember that one, strong password.

Using the app is as simple as the premise. It’s easy to use, and unintrusive.

If you download the app or install the browser extension, there’s very little you need do following the setup.

And when you log in to an account not currently stored in your vault, a browser pop-up asks if you wish to store the credentials. Easy!

Dashlane

Cloud-based, letting you access your accounts wherever you are.
Available in browser and across many mobile devices.
Two-factor authentication.
Form autofill.
Generate new, strong passwords for your accounts.
Automatically change passwords to sites regularly.
Security alerts delivered to you whenever a site you use suffers a security breach.
Dashlane works very similarly to LastPass. You enter your passwords and account credentials manually, import, or as you browse. You then create one strong master password for your Dashlane account. Again, it’s easy to use, dynamic, and unintrusive.
Dashlane offers all the features and security you want from a password manager. But they also go beyond that and  also offer a digital wallet section.
You can import your account credentials from other password managers, such as LastPass and 1Password, or a CSV file. So if you already use one of those apps, it’s easy to try a new one.

1Password

Available in browser and across many mobile devices.
Fingerprint access for supported mobile devices.
Fill in account details with a single click using the browser extension.
Log in to your favourite mobile apps with only a single tap when using the app.
Travel mode available, which erases and limits your personal, sensitive data on your devices.
in-code integration with many mobile apps. Meaning there’s no need for the copy-paste process used by most password managers.

Once again, 1Password acts as a secure vault for all your account credentials and passwords, made accessible to you through a single master password. (Hence the name.)

But alongside the single password, 1Password generates a ‘secret key’ that is only available on your device. So unless a hacker also happens to get hold of your device, they can’t get into your vault.

1Password is another complete, secure password manager that’s easy to use. But it doesn’t stop there. It can also act as an authenticator app, saving you the hassle of using another tool like Google Authenticator.

1Password also gives you the option to only store your vault locally, so it will never reach their servers or the internet. Which can be a great security advantage.

Free – 30-day free trial.

There are Personal and Business plans available.

Business plans are:

$3.99 per month- Teams.

$7.99 per month – Business.

Keeper

Cloud-based, letting you access your accounts wherever you are.
Available in browser and across many mobile devices.
Fingerprint access for supported mobile devices.
Two-factor authentication.
Form autofill.
Generate new, strong passwords for your accounts.
Store sensitive documents, photos and videos in the secure vault.

Safely store payment details.
Management dashboards and reports let you monitor password compliance and activity.
Isolate your data geographically.

Legacy contact for your account.

Keeper boats the strongest security of any password management app.

Like several other apps on this list, Keeper also goes beyond providing a security for your passwords, but also for payment information and sensitive documents.

But, if you’re going to be using a mobile device that hasn’t got fingerprint or facial recognition, you will have to enter your master password every time. As there isn’t the ability to create a pin.

One of the coolest and strongest features that sets Keeper apart from other apps, is the ability to isolate your data. It’s great for purposes for security, and for compliance with data protection laws.

You can select which of their data centres you wish to store and handle your data. That and you can also choose to isolate your data to a specific region, so no-one can access it outside of that geographical area.

Offline access.
Generate new, strong passwords for your accounts.
Management dashboards and reports let you monitor password compliance and activity.
Zoho Vault is another one of the many productivity apps offered by Zoho. And this password manager is great for use by small teams or businesses.
It might not have as many of the high-end security features or extra tools as some of the other password management apps listed. But as a password manager, it does everything you could possibly want.
Zoho Vault is still incredibly secure. And like the rest of the Zoho suite, it’s built to be intuitive and easy to use. Making it easy to use and implement in your working life, or throughout your organisation.

A password manager can save you a great amount of time as an individual, with all the handy features like autofill. But as a business, it can save you even more. Calls to your IT department will be reduced, as the problems of forgotten passwords will be absent.

Of course, there are some risks to using a password manager. Having all of your passwords stored in one app does mean you are putting all your eggs in one basket. However, the level of security that these password management tools provide reduces the risk exponentially. The benefits of using a password manager usually far outweigh any of the risks.

So if you seem to always forget your password, or use the same one across multiple sites, it is time that you improve your password behaviour. Or if you have a colleague who seems to phone IT every week to change their forgotten password, maybe suggest one of the above managers to them. Either way, they are sure to help you in your day-to-day or working life.
